To troubleshoot failures in the Office update process from the Office Update Web site, use the following methods in the order that they are presented. After you complete each method, try to update Microsoft Office by using the Office Update Web site.

Note When you access the Office Update Web site by using certain third-party browsers or certain browsers that are provided by an Internet service provider (ISP), the Office Update Web site may not function correctly. Or, the browser may require special configuration to correctly access the Office Update Web site. If Internet Explorer is available on the computer, connect to the Internet by using your ISP connection. Then, access the Office Update Web site by using Internet Explorer.

Method to solve: Delete the contents of the Microsoft Internet Explorer cache folder, cookies, history, and the operating system temporary folder
If your temporary Internet Explorer cache folder starts to run out of the allocated disc space, you may be unable to download the Office Update control. Free disk space by deleting the Temporary Internet Files cache.

To do this, follow these steps:

1. Start Internet Explorer.
2. On the Tools menu, click Internet Options.
3. Click the General tab, and then click Delete Files under Temporary Internet files.
4. Click to clear the Delete all offline content check box, and then click OK.
5. Click Delete Cookies, and then click OK when you are prompted for confirmation.
6. Under Temporary Internet files, click Settings.
7. In the Settings dialog box, click View Objects.
8. In the Microsoft Windows Explorer window that appears, click Details on the View menu.
9. If the status of any listed object is Damaged, delete the object.
10. Close the Windows Explorer window, and then click OK in the Settings dialog box.
11. Under History, click Clear History, and then click Yes when you are prompted for confirmation.
12. In the Internet Options dialog box, click OK.
13. Enable cookies. To do this, follow these steps:
a. In Control Panel, double-click the Internet Options icon.
b. Click the Privacy tab, and then click Default.
c. Click OK.
14. Click Start, click Run , type %temp%, and then click OK.
15. In the Windows Explorer window that appears, delete the contents of this Temp folder. Note Any file that cannot be deleted is probably being used. Make sure that you have closed all applications that were running. Then, try to delete the contents of this folder again. If you cannot delete a specific file, delete all the files that you can delete

Microsoft Outlook is great when you are using a traditional email address from your ISP. However, it is not so great if you are using a web based email address and you are using Vista. It seems pretty confusing, and it is, because before Vista people had no problems at all linking their web based email addresses like hotmail, AOL, and Gmail to their Outlook Express. However, the new Outlook and Vista do not work that way so you will need to keep that in mind. Some people find that Outlook 2007 training is worthwhile in order to learn a little more about the process and what all has been changed. More than likely you will appreciate the time and effort you put into taking Vista training and Outlook training because it will prepare you to use these programs effectively. So many changes have been made that without training you will feel completely lost the first fewer days.

There are many benefits to programs like Microsoft Outlook, but you should look at the software and consider what is in your best interest to install. For example, if you install the Office 2008 suite you will need to take tutorials on the 2008 editions of all the programs, but Word 2007 training would not help you very much. As a result it is important to understand what programs you will install and the ones you will use the most.

Most people like Microsoft Outlook because it allows them to keep copies of their sent and received messages for a long period of time. Also, it is easy to use Outlook because you can simply begin typing in a contact's name and their email address appears in the box. It is so easy to use and convenient and that is why so many people like it.

Of course, there are other benefits to Outlook as well. You can search all of your information really easy and fast. You will also appreciate the calendar where you can manage your information and your daily activities and events. It is easy to manage your shared information as well. There are also features to prevent malicious sites and junk email.

How to automatically manage incoming messages

You can set up rules to have Outlook 2002 help you manage incoming e-mail messages. For example, Outlook can:

  • Alert you when you receive a message from your supervisor.
  • Move messages that have the text "Meeting Minutes" in the Subject line to your Meetings folder.
  • Flag incoming messages that are from a distribution list.

To set up a rule which provide Outlook Support to do this?

  1. On the Tools menu, click Rules Wizard.
  2. Click New.
  3. Click an action in the upper list.
  4. Customize the action in the lower list.
  5. Click Next.
  6. Provide any additional information based on the action that you selected.
  7. Click Finish.
Note After step 7, you will see a message: This rule is a client-only rule, and will process only when Outlook is running. This isn't an error message; it just indicates that this rule resides on your computer and is only active when Outlook is running. Server-side rules (rules that reside on a server) are active regardless of whether Outlook is currently running or not.

HTML rendering

I am continuing with Outlook Support for the Outlook Internet standards compliance. Outlook 2007 was the first Outlook to switch from Internet Explorer HTML rendering to Microsoft Word 2007 HTML rendering. This means HTML and CSS items not handled by Word are no longer supported. On the other hand, HTML messages composed in Word will look more or less as they appeared to the author.

This most affects those publishing newsletters, because they frequently use intricate HTML and/or CSS to form their layout. For example, forms can no longer be embedded in e-mail.

Calendar compatibility

Outlook does not fully support data and syncing specifications for calendaring and contacts, such as iCalendar, CalDAV, SyncML and vCard 3.0. Outlook 2007 claims to be fully iCalendar compliant; however, it does not support all core objects, such as VTODO, VJOURNAL. Also, Outlook supports vCard 2.1 and does not support multiple contacts in the vCard format as a single file. Outlook has also been criticized for having proprietary "Outlook extensions" to these Internet standards. It supports offline storage files up to 2GB in size.

Read and send messages in other languages with Outlook

When you receive a message in a different language, the message must be marked with information about the character set (alphabet) that was used to create it in order for Outlook 2000 to be able to display the message. When you forward or reply to the message, Outlook keeps the character set of the original message. Including character set information with a message is called encoding.
Occasionally, you may receive messages that aren't encoded. For these messages, Outlook uses the default encoding for unmarked messages that's specified for your computer. This default is set automatically based on the Regional Settings (system local settings) of your operating system. The default setting appears in the International Options dialog box. (On the Tools menu, click Options, click the Mail Format tab, and then click International Options.)
The default encoding might not work for some of the international messages that you receive. For example, if your default is Western European and you receive an unmarked message that uses a Greek character set, the message might display boxes or question marks instead of readable text. To fix this problem, you need to change the encoding of that specific message to Greek so Outlook can display the correct characters and provide Outlook Support to read and send the email massage.

Translate Outlook Text into Excel

Using the Research feature, you can translate single words or short phrases by using bilingual dictionaries or translate your entire document by using Web-based machine translation services. To translate text, you may also need to satisfy the operating system requirements for specific languages.
Machine translation is helpful for conveying the basic subject matter of the content and for confirming whether the content is relevant to you. For important or sensitive documents, human translation is recommended, because machine translation may not preserve the full meaning and tone of the text.This provided Outlook Support to using outlook with Excel.
Follows the Steps ..
1. On the Review tab, click Translate.
2. If this is the first time you have used translation services, click OK to install the bilingual dictionaries and enable the translation service through the Research task pane.
3. To change the languages that are used for translation, in the Research task pane, under Translation, select the languages that you want to translate from and to. For example, to translate English to French, click English (U.S.) in the From list and French (France) in the To list.
Note To customize which resources are used for translation, click Translation options, and then select the look-up options that you want.
4. Do one of the following:
o To translate a specific word, press ALT and click a word. The results appear in the Research task pane under Translation.
o To translate a short phrase, select the words, press ALT and click the selection. The results appear in the Research task pane under Translation.
o To translate a word or phrase, type the word or phrase in the Search for box, and then click Start Searching .

How to Format disk and erase Outlook Data

Formatting a disk erases all information on that disk.

Do one of the following:

Windows Vista

  1. If the disk that you want to format is a floppy disk, insert it into its drive. Otherwise, skip to step 2.
  2. Click the Start button, and then click Computer.
  3. Right-click the disk that you want to format, and then click Format.
  4. Select the options that you want.
  5. Click Start.

Microsoft Windows XP

  1. If the disk that you want to format is a floppy disk, insert it into its drive. Otherwise, skip to step 2.
  2. In Windows XP, click Start, and then click My Computer.
  3. Click the disk that you want to format.
  4. On the File menu, click Format.
  5. Select the options that you want.
  6. Click Start.

Note: The Quick Format option (Format dialog box) removes files from the disk without scanning the disk for bad sectors. Select this check box only if the disk has been previously formatted and you are sure that the disk is not damaged.

For information about any of the options in the Format dialog box, click the question mark in the upper-right corner of the dialog box, and then click the option.

You cannot format a disk if files are open on the disk, if the contents of the disk are displayed, or if the disk contains the system or boot partition. For solving computer problem get Computer Help and also resolve Outlook Problem and get Outlook Support.

Change the Contacts list to last name, first name format

You can change the name format for the contacts in the main Microsoft Office Outlook 2007 Contact folder or any contact folders that you create. These folders are listed in the Outlook Address Book. However, you cannot change the name format for names in the Global Address List (GAL) For more information about the GAL.

Note The following procedure requires a restart of Outlook for the changes to take effect.

  1. In Outlook, on the Tools menu, click Account Settings.
  2. On the Address Books tab, in the Name list, click Outlook Address Book, and then click Change.

3. Under Outlook Address Books, click the address book that you want to change the contact display format for. For example, click Contacts: Personal Folders or Contacts: Mailbox – Mailbox name.

4. Under Show names by, click File As (Smith, John).

5. Click Close two times.

6. Close and restart Outlook.

7. To verify the format change, in Outlook, on the Tools menu, click Options.

8. On the Preference tab, under Contact and Notes, click Contact Options.

9. In the Contact Options box, do one of the following:

  • Verify Last, First in the Default "File As" order list.
  • In the Default "File As" order list, click Last, First.

10. Click OK two times.

How to Detect Language Automatically in Outlook

The Detect language automatically option in Outlook and Word can automatically detect the language you are typing in and enable the proofing tools for that language. This has the same result as if you manually set the language.

This information applies to Microsoft Office Outlook 2007, not Microsoft Outlook Express. For information about Outlook Express, see the Outlook Express Support Center.

1. Open a new e-mail message.

2. On the Message tab, in the Proofing group, click the arrow under Spelling.

3. Click Set Language Button image.

4. Select the Detect language automatically check box.

5. Review the languages shown above the double line in the Mark selected text as list. Outlook can only detect those languages listed above the double line. If there are languages you use that are not shown above the double line, you must enable those languages (turn on the language-specific options) to have Outlook automatically detect them.

Note Automatic language detection does not work on a single-word basis but on a sentence basis. Depending on the length of your sentences, you might need to type several sentences before Outlook has enough contextual information to automatically detect the language and apply the correct dictionary.

What is handwriting recognition?

This feature is available in the Simplified Chinese, Traditional Chinese, English, Japanese, and Korean language versions of Microsoft Office. Because handwriting recognition is not installed by default in all of these languages, you may need to install it separately.

Use handwriting recognition to enter text into any Microsoft Office program by writing instead of typing.

You can write by using a handwriting input device— such as a graphics tablet used with 3-D drawing programs or Computer Aided Drafting (CAD) software, or a pen tablet device— or you can write using your mouse.

Your natural handwriting is converted to typed characters and inserted inline with any existing text, at the same size as the existing text. In Microsoft Word and Microsoft Outlook, you can also choose the option to leave text in handwritten form.

You can convert handwritten notes taken in a Handheld PC or Pocket PC into Microsoft Word by following the instructions that come with your handheld device.

Working with handwriting recognition

To use handwriting recognition for the first time, install it by doing a custom installation, and then use the feature by clicking buttons on the Language bar that appears in the upper-right corner of the screen in any Office program.

Start by selecting a writing area, a writing pad on the screen similar to lined notebook paper, or you can write anywhere on the screen. You can write by using a handwriting input device or by moving your mouse on your mouse pad to form words. Your handwriting is automatically recognized and entered at the insertion point in the program.

Write as you naturally do on a paper surface, using cursive style, printing, or a combination of both. As you write, enter entire words without pausing after each letter, and leave space between words.

Outlook data file backup

Find out where your Outlook data file is and backup regularly

How can you be sure that your Outlook data is being backed up if you don't know where it is?

I am frequently surprised with the number of users who have no idea where their Outlook data is actually saved on their computers.

Unless you are part of a corporate network using MS Exchange, all your Outlook data is stored in one Personal Folders file. This file has a .pst extension and is saved somewhere on your computer. This one file contains all your Outlook folders, e-mails, contacts, tasks, calendar items, journal entries and notes inside it.

So where is this file on your computer?

The exact location depends on the version of Outlook and Windows you are using but unfortunately it is almost never saved in a place you will remember to backup.

To find out where your Outlook data is:

1. Go to your Inbox and makes sure that the list of folders is displayed

2. Right-click the top-level folder and select Properties

3. Click the Advanced button. The filename will be displayed in the box labeled FileName.

You need to make sure that you regularly backup this file to a CD, DVD or external hard-disk.

Create Profile

How Create Profile

Follow these steps to create a new e-mail profile in Outlook

1.

Click Start, and then click Control Panel.

2.

Click Switch to Classic View, and then double-click Mail.

3.

In the Mail Setup dialog box, click Show Profiles.

4.

On the General tab, click Prompt for a profile to be used, and then click Add.

5.

In the Profile Name box, type a descriptive name for the new e-mail profile, and then click OK.

6.

In the E-mail Accounts dialog box, click Add a new e-mail account, and then click Next.

7.

Click the appropriate server type for your new e-mail account, and then click Next.

8.

Type your account information in the required boxes, and then click Next.

9.

Click Finish, and then click OK.

Note By default, both the Outlook Address Book and the personal folders (.pst) files are automatically added to each new e-mail profile, except for those e-mail profiles that are created in Microsoft Exchange Server. By default, .pst files are not added to each new e-mail profile in Exchange Server.

How to configure Outlook to start with a specific e-mail profile

Follow these steps to configure Outlook to start with a specific e-mail profile:

1.

Click Start, and then click Control Panel.

2.

Click Switch to Classic View, and then double-click Mail.

3.

In the Mail Setup dialog box, click Show Profiles.

4.

On the General tab, click Always use this profile under When starting Microsoft Office Outlook, use this profile.

5.

In the Always use this profile list, click the profile that you want to use, and then click OK.

How to configure Outlook to prompt you for a specific e-mail profile

Follow these steps to configure Outlook 2007 and Outlook 2003 to prompt you for a specific e-mail profile:

1.

Click Start, and then click Control Panel.

2.

Click Switch to Classic View, and then double-click Mail.

3.

In the Mail Setup dialog box, click Show Profiles.

4.

On the General tab, click Prompt for a profile to be used under When starting Microsoft Office Outlook, use this profile.

5.

Click OK.
