In this post i will talking about how to reset the nickname and the automatic completion caches in Microsoft Outlook. It will provides Outlook support and help for reset the nick name. Microsoft Outlook maintains a nickname list that is used by both the automatic name checking and the automatic completion features. The nickname list is automatically generated as you use Outlook. If the nickname cache is corrupted, Outlook may not be able to identify recipients, may offer incorrect recipients when automatically completing the e-mail address, or may send the message to the wrong person.

Follow the steps to use in Microsoft Windows XP.
1. Quit Outlook.
2. Click Start, and then click Search.
3. In the Search Companion left-side panel, click All files or folders.
4. In the All or part of the file name: box, type *.NK2.
5. In the Look In box, click to select your local hard disk.
6. Click More advanced options, click to select Search hidden files and folders check box.
7. Click Search.
8. Right-click the .NK2 file with the name of the profile that you want to reset, and then click Rename.
9. Rename the file to profilename.bak, and then press ENTER.
10. Quit Windows Explorer.
11. Restart Outlook.
Outlook will generate a new nickname cache.

Use the steps for both Microsoft Windows 2000 and Microsoft Windows Millennium Edition (Me).
1. Quit Outlook.
2. Start Windows Explorer.
3. On the Tools menu, click Folder Options, and then click the View tab.
4. Under Advanced Settings, click to select the Show hidden files and folders check box.
5. Click OK.
6. Click Start, point to Search, and then click For Files or Folders.
7. In the Search for Files and Folders box, type *.NK2 in the Search for files or folders named box.
8. In the Look In box, click to select your local hard disk.
9. Click Search Now.
10. Right-click the .NK2 file with the name of the profile that you want to reset, and then click Rename.

No prompt to save, discard, or update a view

If you want to save discard or update the folder view, I hope that it is useful for you and provide Outlook Support for solve your problem. As you change to a new view of a folder, Microsoft Outlook does not give you an option to save or discard changes that are made to the current view. Outlook automatically saves the current changes to the view.

To return any view to its original settings in Microsoft Outlook 2000 and in Microsoft Outlook 2002
1. On the View menu, point to Current View, and then click Define Views.
2. In the list of views, click to select the view that you want to return to its original settings.
3. Click Reset, click OK, and then click Apply View.
Outlook returns the view to its original settings.


To return any view to its original settings in Microsoft Office Outlook 2003
1. On the View menu, point to Arrange By, point to Current View, and then click Define Views.
2. In the list of views, click to select the view that you want to return to its original settings.
3. Click Reset, click OK, and then click Apply View.


In Microsoft Outlook 97, when you made changes to a view, such as adding fields, sorting, or filtering, you received a prompt to discard the changes, save them under a new view name, or update the current view. Later versions of Outlook automatically update the current view with the changes without prompting.

Outlook Email Notifications for Important Emails Only!

Most Outlooks users turn off Outlook’s email notification message. With the volume of emails we all receive these days, it is way too detrimental to productivity to have a message interrupt you every time you receive an email. But… what if you want to be alerted whenever you receive emails from particular people… maybe your boss… or an important client.

Did you know that you can use Rules to display an alert similar to the one shown below... so that it will only come up when you receive an email from one or more specific email addresses?




Here are step by step instructions…

Go to your Inbox.

Click Tools-Rules and Alerts to display the Rules dialog box.


Click the New Rule button to display the Rules Wizard screen


Click “Display mail from someone in the New Item Alert Window”. (A on the picture above)

Click on “people or distribution” list (B on the picture above) to display the Rule Address screen.

Select someone from the list or type in the person’s email address in the From field.

Click OK to go back to the Rules Wizard screen.

Click “a specific message” (C on the picture above)

Type in what you want the alert message to say and click OK e.g. Email from Boss!

Click Finish


The next time you receive an email from that person, Outlook will display a message over everything else that you are working on.

This simple trick has helped our own team a lot. I hope it works well for you too.

The error 0x800CCC92 or error 0x800CCCD2 occurs when you try to retrieve a message from a POP3 server. In this post i am trying to provide better solution which is easily troubleshoot and try to provide Outlook Email Error Support.

SYMPTOMS

Note Although this article discusses an error message that may occur on a local computer, the problem actually occurs in Microsoft Exchange 2000 Server. To resolve this issue and prevent error messages on the local computer, an update must be applied to the Exchange server that the Microsoft Outlook application is configured to use or to communicate with.

When you try to use Microsoft Outlook Express to retrieve a message from a Post Office Protocol (POP3) e-mail server, you may receive the following error message:

CAUSE

This behavior can occur if you have two identical accounts with different names or the Outbox.dbx
file is corrupted.

RESOLUTION

To resolve this behavior, remove the duplicate mail accounts. To do so, follow these steps:
1. In Outlook Express, on the Tools menu, click Accounts.
2. Click the Mail tab.
3. Click a duplicate mail account, and then click Remove. Repeat this step until only one instance of
the mail account remains.
4. Click Close.
If the earlier steps do not resolve the behavior, rename the Outbox.dbx file. Note that any items that
remain in the Outbox folder in Outlook Express are permanently deleted after you perform the
deletion. To do so, follow these steps:
1. Quit Outlook Express.
2. Right-click Start, and then click Find or Search.
3. Search for the Outbox.dbx file.
4. Right-click the file, click Delete, and then click Yes.
5. Start Outlook Express, and then try to send the message again.

Sometimes mail servers do get busy and depending on data loads some server busy errors may be a common occurrence, wait 10 mins or so and check again, in the meantime

Check your server provider does not have an issue, most decent providers will have a status link on their home page.



0x800CCC0D cannot find host - Cannot locate server

Make sure News Groups are not selected if you do not subscribe to any, this can disabled from

TOOLS - OPTIONS - GENERAL tab untick option to disable.



0x800CCC0E Failed to Connect - Cannot connect to server

Generally a connection fault, check all cable connections.

Microsoft Outlook is great when you are using a traditional email address from your ISP. However, it is not so great if you are using a web based email address and you are using Vista. It seems pretty confusing, and it is, because before Vista people had no problems at all linking their web based email addresses like hotmail, AOL, and Gmail to their Outlook Express. However, the new Outlook and Vista do not work that way so you will need to keep that in mind. Some people find that Outlook 2007 training is worthwhile in order to learn a little more about the process and what all has been changed. More than likely you will appreciate the time and effort you put into taking Vista training and Outlook training because it will prepare you to use these programs effectively. So many changes have been made that without training you will feel completely lost the first fewer days.

There are many benefits to programs like Microsoft Outlook, but you should look at the software and consider what is in your best interest to install. For example, if you install the Office 2008 suite you will need to take tutorials on the 2008 editions of all the programs, but Word 2007 training would not help you very much. Outlook express hagging problem OLEXP

Outlook Express Stops Responding and Your Pointer Appears as an Hourglass
SYMPTOMS
When you start Outlook Express, the program may stop responding and your pointer may appear as an hourglass.

CAUSE
One cause for this problem may be damaged information in your Identity ID Number registry subkey.

RESOLUTION
WARNING: If you use Registry Editor incorrectly, you may cause serious problems that may require you to reinstall your operating system. Microsoft cannot guarantee that you can solve problems that result from using Registry Editor incorrectly. Use Registry Editor at your own risk.

To resolve this problem, use Registry Editor to export, delete, and then import the Identity ID Number subkey registry information for each of your identities.

When you use this procedure, you preserve user settings, account settings, address books, and message stores.

How to Export and Delete the Identities
1. Quit all programs.
2. Click Start, and then click Run.
3. In the Open box, type regedit, and then click OK.
4. Locate the following registry subkey:
HKEY_CURRENT_USER\Identities\Identity ID Number
NOTE: There is one subkey for every identity. Follow these steps for each identity. The Identity ID Number subkey takes the form of an alphanumeric string, such as:
{C099C720-F752-11D2-87CB-00C04FADCFBE}
5. In the left pane, click the first \Identities\Identity ID Number subkey in the tree, and then note the user name data in the right pane.
6. On the Registry menu, click Export Registry File.
7. In the File name box, type the user name that you noted in step 5.
8. In the Save in box, click Desktop, and then click Save. Repeat the previous steps to export each Identity ID Number subkey.
9. After you export each Identity ID Number subkey, right-click the Identity ID Number subkey in the tree, and then click Delete. When you are prompted to delete the key, click Yes.
10. Delete the main Identity key, HKCU\Identities.
11. Quit Registry Editor.
The Username.reg files are now on your desktop. Each file corresponds to one of your identities.

How to Import the Identities
Import each Username.reg file. Start Outlook Express after you import each file to determine if the individual identity is damaged. To do this:
1. On the Microsoft Windows desktop, double-click the first Username.reg file that you exported.
2. Start Outlook Express to confirm that the program is working correctly for that identity.
3. Repeat the previous step for each Username.reg file.
Do not delete any Username.reg files that you do not use until you confirm that Outlook Express is working correctly. If Outlook Express does not work correctly after you import one of the .reg files, that identity is the identity that is causing the problem. You must delete the identity, and then re-create it.

How to automatically manage incoming messages

You can set up rules to have Outlook 2002 help you manage incoming e-mail messages. For example, Outlook can:

  • Alert you when you receive a message from your supervisor.
  • Move messages that have the text "Meeting Minutes" in the Subject line to your Meetings folder.
  • Flag incoming messages that are from a distribution list.

To set up a rule which provide Outlook Support to do this?

  1. On the Tools menu, click Rules Wizard.
  2. Click New.
  3. Click an action in the upper list.
  4. Customize the action in the lower list.
  5. Click Next.
  6. Provide any additional information based on the action that you selected.
  7. Click Finish.
Note After step 7, you will see a message: This rule is a client-only rule, and will process only when Outlook is running. This isn't an error message; it just indicates that this rule resides on your computer and is only active when Outlook is running. Server-side rules (rules that reside on a server) are active regardless of whether Outlook is currently running or not.

Do you send email to the same people over and over again? Instead of typing out the recipient's names, create a distribution list. Go to File

Click New

Click Distribution List The Distribution List window will open up. Give a name to the list, then press "Select Members". The Select Members window will open up. Double Click on the names you wish to add.

After the contacts have been added to the members field click OK. This will close the Select Members window. If you wish to add someone who is not on your contact list: Press "Add New" in the distribution list window. The Add New Member window will open. Enter the name of new member in the Display Name field.

Enter the e-mail address of the new member in the E-mail Address field.

Press OK and the new member will be added to your Distribution List.

Save and Close the Distribution List window. When you want to e-mail this group just type in the name of the List rather than each recipients name.

Now that you understand how to create a distribution list you should understand "Bcc" or Blind Carbon Copy.

"Bcc" allows you to send an e-mail without showing everyone the e-mail address of the recipients. It also is the polite thing to do. This way you're not inadvertently sharing a person's e-mail with a group of people they may not know, by including them in a mass email. You can also use the "Bcc" field to quietly notify a third party that a message has been sent.

Use of "Bcc" for long lists of addresses is important for two reasons: It protects the privacy of those to whom you send a message, and It makes forwarded e-mail less confusing to read When using "Bcc" add your own e-mail in the To: field to ensure yours is the only address shown.

All e-mail programs support "Bcc", but it may not be the default option. In Outlook 2007, click "New" for a new e-mail, then under the Options Tab click the "Show Bcc" button In Outlook 2003, click "New" for a new e-mail, then click the little down arrow to the right of "Options" and select "Bcc". Once selected, "Bcc" will be available for all new e-mails.

Here are some suggestions for using the different fields when sending e-mail. To: Add recipients who you are directly communicating with. There is nothing wrong with a list of e-mails, as long as there is no problem with each recipient being able to see the other recipient's e-mail address

Cc: Known as Carbon Copy. Use "Cc": to send a copy of the e-mail to recipients not required to participate in the communication. It allows the To: recipients to known that someone else is also receiving the e-mail

Bcc: Blind Carbon Copy is where you put e-mail addresses that should not be seen by other recipients.

Outlook Internet standards compliance

HTML rendering

I am continuing with Outlook Support for the Outlook Internet standards compliance. Outlook 2007 was the first Outlook to switch from Internet Explorer HTML rendering to Microsoft Word 2007 HTML rendering. This means HTML and CSS items not handled by Word are no longer supported. On the other hand, HTML messages composed in Word will look more or less as they appeared to the author.

This most affects those publishing newsletters, because they frequently use intricate HTML and/or CSS to form their layout. For example, forms can no longer be embedded in e-mail.

Calendar compatibility

Outlook does not fully support data and syncing specifications for calendaring and contacts, such as iCalendar, CalDAV, SyncML and vCard 3.0. Outlook 2007 claims to be fully iCalendar compliant; however, it does not support all core objects, such as VTODO, VJOURNAL. Also, Outlook supports vCard 2.1 and does not support multiple contacts in the vCard format as a single file. Outlook has also been criticized for having proprietary "Outlook extensions" to these Internet standards. It supports offline storage files up to 2GB in size.

• If you haven't installed another browser, do that first. During installation, most browsers display a message asking if you want to use that browser as the default browser.
• If the browser that you want to use is already installed, open it. You should see a message asking if you want to use that browser as the default browser. If you don't see the message, use the following instructions, but choose the browser that you want to use instead of Internet Explorer.
To make Internet Explorer your default Web browser
1. Open Internet Explorer. (Click Start, and then click Internet Explorer. If you don't see Internet Explorer on the Start menu, point to All Programs, and then click Internet Explorer.)
o If a message appears asking if you want Internet Explorer to be your default browser, click Yes.
o If a message does not appear, go to Step 2.
2. On the taskbar, click Start, and then click Set Program Access and Defaults.
Note The Set Program Access and Defaults option is available only in Microsoft Windows XP with Service Pack 1 or Microsoft Windows XP with Service Pack 2.
3. In the Add or Remove Programs dialog box, click Custom, and then click the arrow to the right.
4. Under Choose a default Web browser, click Internet Explorer, and then click OK.
Tip If you have more than one Web browser installed, you can hide links to those browsers from the Start menu, the Windows taskbar, and your desktop by clearing the Enable access to this program check box.

If you want to change the date display — for example, to be a day-month-year format instead of month-day-year format — you change this in the Control Panel program in Microsoft Windows Vista and earlier.

1. Click Start, click Control Panel, click Clock, Language, and Region, and then under Regional and Language Options, click Change the date, time, or number format.

Read and send messages in other languages with Outlook

When you receive a message in a different language, the message must be marked with information about the character set (alphabet) that was used to create it in order for Outlook 2000 to be able to display the message. When you forward or reply to the message, Outlook keeps the character set of the original message. Including character set information with a message is called encoding.
Occasionally, you may receive messages that aren't encoded. For these messages, Outlook uses the default encoding for unmarked messages that's specified for your computer. This default is set automatically based on the Regional Settings (system local settings) of your operating system. The default setting appears in the International Options dialog box. (On the Tools menu, click Options, click the Mail Format tab, and then click International Options.)
The default encoding might not work for some of the international messages that you receive. For example, if your default is Western European and you receive an unmarked message that uses a Greek character set, the message might display boxes or question marks instead of readable text. To fix this problem, you need to change the encoding of that specific message to Greek so Outlook can display the correct characters and provide Outlook Support to read and send the email massage.

The AutoRecover option (in these Microsoft Office programs: Word, Excel, PowerPoint, Publisher, and Visio) and AutoSave option (in Microsoft Office Outlook) can help you avoid losing work in two ways:
• Your data is automatically saved If you enable Auto Recover or AutoSave, your file (such as a Microsoft Office Word document) or item (such as an Outlook Support and Outlook e-mail message) is automatically saved as often as you want. Therefore, if you have been working for a long time but forget to save a file or if your power goes out, the file you have been working on contains all or at least some of the work you have done since you last saved it.
• Your program state is automatically saved In Microsoft Office Excel, Microsoft Office Outlook, Microsoft Office PowerPoint, and Microsoft Office Word, there is an additional benefit to enabling AutoRecover or AutoSave. In these programs, if you enable this option, some aspects of the state of the program are recovered when the program is restarted after it closed abnormally.
For example, you are working on several Excel workbooks at the same time. Each file is open in a different window, with specific data visible in each window. In one of the workbooks, a cell is selected to help you keep track of which rows you already reviewed, and then Excel crashes. When you restart Excel, it opens the workbooks again and restores the windows to the way they were before Excel crashed.
Although not every aspect of your program's state can be recovered, in many cases, the Recovery feature can help you recover more quickly.

Using the Research feature, you can translate single words or short phrases by using bilingual dictionaries or translate your entire document by using Web-based machine translation services. To translate text, you may also need to satisfy the operating system requirements for specific languages.
Machine translation is helpful for conveying the basic subject matter of the content and for confirming whether the content is relevant to you. For important or sensitive documents, human translation is recommended, because machine translation may not preserve the full meaning and tone of the text.This provided Outlook Support to using outlook with Excel.

1. On the Review tab, click Translate.
2. If this is the first time you have used translation services, click OK to install the bilingual dictionaries and enable the translation service through the Research task pane.

How to Format disk and erase Outlook Data

Formatting a disk erases all information on that disk.

Do one of the following:

Windows Vista

  1. If the disk that you want to format is a floppy disk, insert it into its drive. Otherwise, skip to step 2.
  2. Click the Start button, and then click Computer.
  3. Right-click the disk that you want to format, and then click Format.
  4. Select the options that you want.
  5. Click Start.

Microsoft Windows XP

  1. If the disk that you want to format is a floppy disk, insert it into its drive. Otherwise, skip to step 2.
  2. In Windows XP, click Start, and then click My Computer.
  3. Click the disk that you want to format.
  4. On the File menu, click Format.
  5. Select the options that you want.
  6. Click Start.

Note: The Quick Format option (Format dialog box) removes files from the disk without scanning the disk for bad sectors. Select this check box only if the disk has been previously formatted and you are sure that the disk is not damaged.

For information about any of the options in the Format dialog box, click the question mark in the upper-right corner of the dialog box, and then click the option.

Link Outlook contacts to an Access database

You can quickly copy or link to your Outlook contacts in an Access database, enabling you to work with your Outlook contacts in an Access database. Your Access data is kept up to date with changes to Outlook contacts, and vice versa, if you choose to link contacts to Access.
1. Open Access and start a new, blank database or open an existing database.
2. Do one of the following:
§ On the File menu, point to Get External Data, and then click Import.
§ On the File menu, point to Get External Data, and then click Link Tables.
Note If you link Outlook data to Access, any items updated in Outlook are automatically updated in Access.
3. In the Link or Import dialog box, in the Files of Type list, click Outlook.
If you have more than one Outlook profile, you are prompted for which profile to use.
4. In the Import Exchange/Outlook Wizard, select the folder or address book that contains the contacts that you want, and then click Next.
1. Expand the top mailbox folder.
2. Select the folder that contains the contacts that you want to export.
When you complete the wizard, the Outlook data is placed into an Access table.

After you change the name format for existing contacts in the Outlook Address Book, the change applies to future entries that you create. However, occasionally not all your contacts are updated with the format change. In these cases, you must change the format for each contact.
1. In Contacts, double-click a contact that does not appear in the last name, first name format.
2. In the open contact, in the File as box in the upper-left section, click the name in the last name, first name format. For example, click Smith, John.
1. On the Contact tab, in the Actions group, click Save and Close.
2. Repeat for each contact not displayed in the correct name format.
Notes
In a contact card, the Display Name for e-mail addresses is the name shown on the To, Cc, and Bcc lines of an e-mail message and also in the Address Book when you search for a contact. The Display Name is created based on how you type the contact's name in the Full Name box. Company names in the Company box that start with The automatically appear under the next word in the name. Change the Contacts list to last name, first name format

You can change the name format for the contacts in the main Microsoft Office Outlook 2007 Contact folder or any contact folders that you create. These folders are listed in the Outlook Address Book. However, you cannot change the name format for names in the Global Address List (GAL) For more information about the GAL.

Note The following procedure requires a restart of Outlook for the changes to take effect.

  1. In Outlook, on the Tools menu, click Account Settings.
  2. On the Address Books tab, in the Name list, click Outlook Address Book, and then click Change.

3. Under Outlook Address Books, click the address book that you want to change the contact display format for. For example, click Contacts: Personal Folders or Contacts: Mailbox – Mailbox name.

4. Under Show names by, click File As (Smith, John).

5. Click Close two times.

6. Close and restart Outlook.

7. To verify the format change, in Outlook, on the Tools menu, click Options.

8. On the Preference tab, under Contact and Notes, click Contact Options.

9. In the Contact Options box, do one of the following:

  • Verify Last, First in the Default "File As" order list.
  • In the Default "File As" order list, click Last, First.

10. Click OK two times.

Bcc stands for blind carbon copy. If you add someone's name to the Bcc line, a copy of the message is sent to that person, but his or her name is not visible to other recipients.

How to Detect Language Automatically in Outlook

The Detect language automatically option in Outlook and Word can automatically detect the language you are typing in and enable the proofing tools for that language. This has the same result as if you manually set the language.

This information applies to Microsoft Office Outlook 2007, not Microsoft Outlook Express. For information about Outlook Express, see the Outlook Express Support Center.

1. Open a new e-mail message.

2. On the Message tab, in the Proofing group, click the arrow under Spelling.

3. Click Set Language Button image.

4. Select the Detect language automatically check box.

5. Review the languages shown above the double line in the Mark selected text as list. Outlook can only detect those languages listed above the double line. If there are languages you use that are not shown above the double line, you must enable those languages (turn on the language-specific options) to have Outlook automatically detect them.

Note Automatic language detection does not work on a single-word basis but on a sentence basis. Depending on the length of your sentences, you might need to type several sentences before Outlook has enough contextual information to automatically detect the language and apply the correct dictionary.
